These Terms & Conditions apply to bookings made with Tartan Tree Yoga, a sole trader business operated by Elizabeth Sharma.

By making a booking with Tartan Tree Yoga, you agree to these Terms & Conditions.

1. About Tartan Tree Yoga

Tartan Tree Yoga provides yoga, mindfulness, movement, storytelling and nature-based sessions for children, families and adults.

Our sessions include:

  • Acorn Asanas – children aged 3–5

  • Oak & Acorn – parent and child sessions

  • Acorn Adventures – sessions for home-educated children, with optional drop-off where agreed

  • Wise Oaks – adult yoga sessions

If you are unsure which session is appropriate for you or your child, please contact us before booking.

2. Booking and Payment

A booking is confirmed once payment has been successfully received and you have received a booking confirmation.

Please check your confirmation email carefully, including the date, time and location of your session.

The location and meeting point for outdoor sessions will be provided using What3Words where appropriate.

You are responsible for ensuring that the information provided when booking is accurate and up to date.

3. Cancellation by You

We understand that plans can change.

If you cancel your booking with at least 48 hours' notice, you will receive a full refund.

Where less than 48 hours' notice is provided, a refund will not normally be available. However, at our discretion, we may be able to transfer your booking to another suitable session where availability allows.

Please contact us as soon as possible if you are unable to attend.

Nothing in these Terms & Conditions affects any statutory rights you may have.

4. Cancellation by Tartan Tree Yoga

We may occasionally need to cancel or change a session due to circumstances outside our reasonable control. This may include severe or unsafe weather conditions, instructor illness, safety concerns, or other unforeseen circumstances.

Where we cancel a session, we will normally offer either a transfer to another suitable session or a full refund.

We will communicate any changes as soon as reasonably possible.

5. Outdoor and Woodland Sessions

Some Tartan Tree Yoga sessions take place outdoors and may involve woodland or other natural environments.

Participants should be prepared for changing weather and natural terrain, including uneven ground, roots, mud, stones, slopes, vegetation and other features of the outdoor environment.

Participants should wear appropriate clothing and footwear and follow any safety instructions provided during the session.

We may adapt, relocate or cancel a session where conditions are considered unsuitable or unsafe.

6. Health and Physical Participation

Yoga involves physical movement and participants should take part within their own abilities.

When booking, please tell us about any health condition, injury, mobility consideration, pregnancy, allergy, additional need or other circumstance that may affect participation or that you believe would be helpful for us to know.

Our instructors hold appropriate first aid training relevant to the sessions we provide. However, first aid training does not replace medical advice or emergency medical services.

Participants should inform the instructor if they feel unwell, experience pain, dizziness or discomfort during a session.

Tartan Tree Yoga does not provide medical advice, diagnosis or treatment. If you have concerns about whether yoga is suitable for you or your child, please seek appropriate advice from a qualified healthcare professional before participating.

7. Children and Parental Responsibility

A parent, carer or other responsible adult must remain responsible for their child during sessions where parental attendance is required.

For Oak & Acorn, the accompanying adult is expected to remain with and participate alongside the child.

For Acorn Adventures, optional drop-off may be available where specifically agreed with Tartan Tree Yoga. The arrangements for drop-off and collection must be followed.

Parents/carers are responsible for providing accurate emergency contact, health and other relevant information.

Please inform us promptly of any changes to information that may affect your child's safety or participation.

8. Children Who Need Time to Settle

We recognise that children may respond differently to new environments and activities.

Children will not be expected to participate in every activity. Where appropriate, children may observe, take a break or join in when they feel comfortable.

We aim to provide a welcoming and supportive environment, but we may contact a parent/carer if we believe a child's needs cannot safely or appropriately be met within the session.

9. Additional Needs and Accessibility

We aim to make our sessions as inclusive as reasonably possible.

If you or your child has additional needs, please contact us before booking so that we can discuss the session and consider whether reasonable adjustments can be made.

We will always seek to understand individual needs, but we cannot guarantee that every session, location or activity will be suitable for every participant.

10. Photography and Images

From time to time, photographs or videos may be taken during Tartan Tree Yoga activities for promotional purposes.

Photography consent will be requested separately and will not be assumed simply because you have booked a session.

You can choose not to consent to promotional photography.

11. Our Responsibility

Tartan Tree Yoga will take reasonable steps to provide sessions in a safe and professional manner.

However, participation in yoga and outdoor activities carries inherent risks, and participants must follow reasonable instructions given by the instructor.

Nothing in these Terms & Conditions excludes or limits any liability that cannot legally be excluded or limited.

12. Insurance

Tartan Tree Yoga holds appropriate business insurance through Covea Insurance Plc.

Insurance does not remove the responsibility of participants or parents/carers to provide accurate information and follow reasonable safety instructions.

13. Changes to Sessions

We may occasionally make reasonable changes to session content, activities or locations where necessary for safety, weather, operational or other practical reasons.

We will endeavour to ensure that any changes remain consistent with the nature and purpose of the session.

14. Complaints and Feedback

We welcome feedback and encourage you to contact us if you have any concerns about your experience.

We may update these Terms & Conditions from time to time. The current version will be published on our website and will show the date it was last updated.
